CloudSecretary vs Ruby

CloudSecretary vs Ruby: what you’re actually comparing

Ruby is a premium US virtual receptionist service billed by the minute, with entry pricing around $250 a month for 50 minutes (their published pricing, checked September 2026). CloudSecretary bills per answered call from $49 a month and includes English and Spanish on the same line. Ruby has the longer track record and a wider integration set; CloudSecretary is cheaper per call and bilingual by default.

The difference that changes the bill: minutes vs calls

Ruby sells minutes. You buy a block, and every call consumes however long it takes. A caller who tells you their life story costs more than one who books in ninety seconds, and a busy month consumes the block early.

CloudSecretary sells answered calls: one answered call = one billable call, whatever we do on it — booking, transferring, screening and escalating all happen inside it.

Neither model is dishonest. They suit different businesses. If your calls are consistently short and few, minutes can work out fine. If your calls are long, or their length is unpredictable, or your volume spikes seasonally, per-call pricing is the one you can forecast.

The way to compare: take your real average call length and your real monthly volume, and convert both providers to a cost per call. Do that before looking at the headline prices.

Where Ruby is the better choice

You want the established name. Ruby has been doing this for years, has thousands of public reviews, and if a partner or a board asks who answers your phone, they’ve heard of them. That is worth something and we’re not going to pretend otherwise.

You need a specific integration. Ruby publishes a longer integration list. If your workflow depends on a named tool wiring directly into your reception, check theirs against ours before anything else.

Your calls are short and low-volume. A practice with a handful of ninety-second calls a day may genuinely spend less on a minute block than on a per-call plan.

You want a US-only operation and that’s a hard requirement. Ask both of us where the receptionists are and decide on the answer.

Where CloudSecretary wins

Cost per call at real volume. $209 for 50 calls is a different order of magnitude from a $250 block of 50 minutes once your calls run over three minutes.

Bilingual as standard. Same number, same receptionist, either language, no surcharge and no transfer — including overnight. For a business with Spanish-speaking customers this is usually the deciding factor rather than a tiebreaker.

Predictable bills. You know what a busy month costs before it happens, because the unit is a call and not a stopwatch.

Everything in the call is included. Booking or transferring doesn’t add a line.

What both do the same

A live person answers. Your greeting, your script, your rules. Messages by email and SMS. Appointment booking. Call transfers. A portal with your call history. Neither of us is selling you an answering machine.

Switching

Keep your number. Point the forwarding at us, run both for a week if you want to compare directly, then turn the old one off. There’s nothing to migrate — an answering service holds your script, not your data. Your first month free makes the overlap month free; 12-month agreement, card on file at signup, overage billed from month one, no setup fee.

Questions people ask

How much does Ruby cost?

Ruby's published entry plan was around $250 a month for 50 minutes when we checked in August 2026, with higher tiers around $720 for 200 minutes. Pricing changes — check their site for current figures before deciding.

Is CloudSecretary cheaper than Ruby?

At most real call volumes, yes, because the unit is different: CloudSecretary charges per answered call from $49 a month rather than per minute. For very low volumes of very short calls the gap narrows.

Does Ruby offer bilingual answering?

Ruby offers Spanish-language support — check the current terms and hours on their site. CloudSecretary includes English and Spanish on the same number, handled by the same receptionist, on every shift, at no extra cost.

Can I switch from Ruby without changing my number?

Yes. Your number stays yours; you change where it forwards. Many businesses run both for a week before switching the old forwarding off.
