Message taking service: the message you can actually act on
A message taking service answers calls a business can't take and records the details in writing. CloudSecretary receptionists capture the caller's name, number, reason for calling, what they need back and how urgent it is, then deliver the message by email or SMS within minutes of the call ending — in English or Spanish.
- Answered by people, in English and Spanish
- One answered call, one price — booking and transfers included
- Your first month free, no setup fee

Most messages are useless, and it isn't the caller's fault
"John called. Wants a callback."
That message costs you a phone call to find out what John wants, another to get the information you should already have had, and a third to actually do the thing. Three calls to replace one, because nobody asked the second question while John was still on the line.
The value of a message is decided in the twenty seconds after the caller states their business. Either someone asks what you would have asked, or the message is just a notification that something happened.
What goes into a message
Every one includes the caller’s name and number read back and confirmed, the company they’re calling from where relevant, what they want in their own words, the answers to your qualifying questions, and the urgency flag by your definition. Plus the time, the language of the call and who handled it.
Your questions are the part that makes it yours. A property manager needs the unit number and whether water is currently running. A law firm needs the other party’s name so a conflict check can happen before anyone calls back. A contractor needs the job address. We ask them because you told us to.
How it reaches you
Email, SMS, or both — and it can differ per person on your team, so the owner doesn’t get every message and the coordinator does. Routing rules can send different message types to different people: bookings to the front desk, complaints to a manager, emergencies straight to the phone.
Everything is also in the portal, searchable by name, number or date, with your own notes attached. How the portal works.
Where message taking stops
Message taking is the floor, not the ceiling. If the message you keep getting is "wants to book an appointment," we should be booking it during the call instead. If it’s "says it’s an emergency," you want escalation rules, not a message.
All of it is the same price, because one answered call = one billable call, whatever we do on it. There’s no reason to buy the smaller version.
Questions people ask
What is a message taking service?
A message taking service answers a business's calls and records the details of each one in writing: who called, their number, why they called, and what they need. The message is sent to the business by email or SMS. It's the simplest form of answering service, and usually the cheapest.
How quickly do you deliver messages?
Within minutes of the call ending — the receptionist writes it up while the conversation is fresh, not in a batch at the end of a shift. Urgent messages defined by your rules are escalated by phone rather than left to be read.
Can you send messages to my CRM or shared inbox?
Messages go to any email address, including shared inboxes and CRM intake addresses, and to SMS. Deeper integrations are handled case by case rather than promised on a website.
Do you take messages in Spanish?
Calls are handled in Spanish when the caller speaks Spanish, and the message comes back to you in English with the caller's own wording quoted where it matters. How bilingual reception works.
Pricing
Plans, priced per call
You buy a number of answered calls a month. Whatever happens inside the call — a message, a booking, a transfer, a screening — is part of that one call. No add-on line items.
