Appointment scheduling: booked during the call, not after it

An appointment scheduling answering service books appointments into a business's calendar while the caller is still on the phone. CloudSecretary receptionists check availability against your rules, offer slots, book, and confirm with the caller before hanging up — then send the confirmation and the record to you.

  • Answered by people, in English and Spanish
  • One answered call, one price — booking and transfers included
  • Your first month free, no setup fee

Have us call you back

A person calls you back, not an autodialer. Usually within the hour.

We use your details to call you back, nothing else. See our privacy policy. We call, we don’t spam.

"Someone will call you back to schedule" is where bookings die

The caller has to be available again. So does whoever calls them. Between the two, a day passes, and the caller has often solved the problem another way — or booked with the business that handled it on the first call.

Every step you add between wanting an appointment and having one loses a share of the people who wanted it. Booking on the call removes all of them at once.

How we book

We work from your calendar and your rules: appointment types and how long each takes, buffers between them, which days and hours are bookable, who can be booked and who can’t, how far ahead, and what needs a human decision instead of a slot.

On the call the receptionist offers real availability, takes the details you require, books it, repeats it back and confirms. You get the appointment in your calendar and a written record of the call it came from.

Rescheduling and cancellations work the same way — including the one that matters most, the cancellation that frees a slot somebody else wanted this week.

Filling the gap a cancellation leaves

For practices with a full book, the cancellation is the expensive call: an hour of capacity that evaporates unless somebody does something within the next few hours.

If you keep a short list of patients or clients who’d take an earlier slot, we can work it when a cancellation comes in, rather than letting the gap sit until someone notices it at the end of the day. How this plays out in dental practices.

What we won't do

We don’t book you into slots your rules say are unavailable, even when a caller pushes. We don’t take payment or card details. We don’t decide clinical or legal priority — if the answer depends on judgment that belongs to your team, it becomes a message or a transfer, not a booking.

Price

Booking is included: one answered call = one billable call, whatever we do on it, so a call that ends in a scheduled appointment costs exactly the same as a call that ends in a message — there is no per-booking fee. Full pricing.

Questions people ask

Can an answering service book appointments for me?

Yes. A receptionist with access to your calendar and your booking rules can offer real availability and confirm the appointment during the call, which converts far better than taking a message and calling back. CloudSecretary includes booking on every plan at no extra charge.

Which calendars do you work with?

The mainstream business calendars and most practice or job-management systems that allow a delegated user. We confirm what you use during setup rather than listing integrations we haven't tested with your configuration.

Do you charge extra for each booking?

No: one answered call = one billable call, whatever we do on it — booking, rescheduling and confirming are actions inside that call, not separate line items.

Can you handle cancellations and reschedules?

Yes, under the same rules: cancel, move, and where you want it, work a short-notice list to refill the slot the same day.

Do you take payment or deposits over the phone?

No. We don't capture card details or process payments. Anything involving payment becomes a transfer or a task for your team.
