Emergency answering service: the urgent call reaches a human

An emergency answering service identifies urgent calls and escalates them to an on-call contact immediately, at any hour, instead of leaving a message. CloudSecretary works from the urgency rules and escalation ladder you define, keeps calling until it reaches a person, and logs every attempt with a timestamp.

  • Answered by people, in English and Spanish
  • One answered call, one price — booking and transfers included
  • Your first month free, no setup fee

Have us call you back

A person calls you back, not an autodialer. Usually within the hour.

We use your details to call you back, nothing else. See our privacy policy. We call, we don’t spam.

Answered by people, in two languages, on a plan that counts calls — not minutes.

  • A human on every call, day and night
  • English and Spanish on the same line
  • Your greeting, your script
  • Cancel or change your plan by email

Two ways this goes wrong, and both are expensive

The first is the emergency that becomes a message. Water is coming through a ceiling at midnight, the caller reaches an answering service that takes a name and number, and somebody reads it at eight the next morning. By then the damage is measured in insurance claims, and the customer is telling that story to everyone they know.

The second is the opposite: being woken for something that could have waited. It happens once or twice and then the on-call person stops answering unknown numbers at night — which quietly recreates the first problem.

Getting the line right between them is the entire job. Everything else here is logistics.

Your rules, written down before we start

During setup we write your urgency definition in plain language, and it’s specific rather than a severity dropdown:

  • Situations. Active damage. No heat below a given temperature. A lockout. A named symptom. Whatever your business treats as now.
  • Phrases. The words callers actually use when it’s real, in English and Spanish.
  • Callers. Named clients or accounts that always get through, regardless of the reason.
  • Times. What’s urgent at 11 p.m. on a Saturday and what isn’t at 2 p.m. on a Tuesday.
  • The never list. What we must never treat as an emergency, even if the caller insists.

The escalation ladder

You give us an order: primary on-call, backup, then whoever is last resort. We work down it, waiting the interval you set between attempts, until a human picks up. Every attempt is timestamped in the log, so there is a record of exactly what was tried and when.

If the rotation changes weekly, you update it in the portal and it takes effect on the next call. If nobody answers at any level, the caller is told honestly when someone will reach them — rather than being reassured by someone who can’t guarantee it.

Non-emergencies still get handled well

The calls that don’t clear the bar aren’t dismissed. They’re answered fully, written up properly, and waiting for you at opening. A caller told "that’s not an emergency" and hung up on becomes a complaint; a caller told "I’ve logged everything and the team has it first thing" usually doesn’t.

Who uses this

HVAC and plumbing contractors, property managers with habitability obligations, physicians running on-call rotations, and funeral homes, where every call is urgent by definition and the tone matters as much as the speed.

Usually paired with after-hours cover, since that’s when most of these calls land.

Questions people ask

What is an emergency answering service?

An emergency answering service answers urgent business calls at any hour and escalates them immediately to an on-call person, following rules set by the business. It differs from standard answering in that qualifying calls trigger a live escalation rather than a written message.

How do you decide what counts as an emergency?

You decide, and we write it down before going live: the situations, the phrases callers use, the accounts that always get through, and the times of day when the threshold changes. We follow that list exactly and don't improvise on it.

What happens if my on-call person doesn't answer?

We move to the next contact on your escalation list after the interval you set, and keep going until someone picks up. Every attempt is logged with a timestamp, and the caller is told honestly what to expect if we run out of contacts.

Do you charge extra for emergency escalations?

No: one answered call = one billable call, whatever we do on it — the escalation attempts are part of handling that call, not a separate charge.
